Nomad Nest Payment & Refund Policy

These Payment & Refund Policies contain important information about participating in Nomad Nest programs ("Trips") and using the services provided by Nomad Nest Network, LLC ("Nomad Nest," "we," "our," "us"). By booking a Trip or using our services, you ("Participant," "you," "your") agree to these policies in addition to the Nomad Nest Participant Terms and Conditions.
1. Trip Fees
1.1 Payment Requirements
1.1.1 Payment Options: You may secure your Trip with one of the following methods:
- Deposit Option: Pay a non-refundable deposit (calculated after any applicable discounts). The remaining balance is due 90 days before the Trip Start Date.
- Full Payment Option: You may choose to pay the full trip amount at the time of booking.
Note: If you book a Trip within 90 days of the Trip Start Date, full payment is required at the time of booking. The deposit option is not available for last-minute bookings.
1.1.2 Failure to Pay Balance: If the remaining balance is not paid by the deadline (90 days before the Trip Start Date), your booking may be canceled and your deposit forfeited.
1.1.3 All payments are subject to Nomad Nest's cancellation and refund policy outlined below.
1.2 Refunds & Cancellations
1.2.1 Full Refund Within 24 Hours of Booking
- Participants may cancel their booking within 24 hours of payment for a full refund, provided the Trip Start Date is more than 90 days away.
- For Trips booked less than 90 days before the start date, participants may still cancel within 24 hours of booking for a full refund.
- After this period, payments are non-refundable unless canceled 90+ days before the Trip Start Date (see Section 1.2.2).
1.2.2 Partial Refunds & Future Trip Credits (90+ Days Before Trip Start)
If a cancellation request is made 90 or more days before the Trip Start Date, participants may choose:
- A future trip credit equal to the full amount paid (valid for 365 days),

OR a partial refund, only if you paid in full, calculated as follows:
- A 25% cancellation fee (based on the full trip price before any discounts), and
- A $100 processing fee.
Note: If you selected the deposit option, the deposit is non-refundable and not eligible for refund or future credit.
1.2.3 No Refunds or Credits (0–90 Days Before Trip Start)
- If you book a Trip that starts in less than 90 days, you still have 24 hours to cancel for a full refund.
- After the 24-hour period, no refunds or credits will be issued for any reason, including cancellations, no-shows, or changes to plans.
1.2.4 No-Show Policy
- If a participant does not check in or attend their booked Trip, no refund or credit will be issued.
1.2.5 Extreme Situations & Refund Policy (Within 90 Days of Trip Start)
Nomad Nest understands that unexpected events can happen, but personal emergencies occurring within 90 days of the Trip Start Date (e.g., accidents, injuries, illness, or the death of a relative) are not considered extreme situations eligible for a refund.
Extreme situations that may be considered for partial refunds or credits include:
- Natural disasters directly affecting the trip location
- Government-imposed travel restrictions
- Pandemics or other unforeseen global events
- Acts of God that make it impossible for Nomad Nest to operate the Trip
Decisions regarding refunds or credits in these cases are at Nomad Nest’s sole discretion and will be assessed on a case-by-case basis. Participants should assume that all payments made within 90 days of the Trip Start Date are non-refundable.
1.2.6 Travel Insurance Requirement (Within 90 Days of Trip Start)
Because personal emergencies are not eligible for refunds within 90 days of the Trip Start Date, travel insurance is mandatory for all participants. Your policy should cover:
- Trip cancellations due to personal emergencies (injury, illness, or a family emergency)
- Medical expenses and emergency evacuation
- Lost or delayed baggage
- Other unexpected disruptions
Proof of valid travel insurance must be uploaded to your Nomad Nest account at least 30 days before your Trip Start Date.
1.3 Changes to Bookings
1.3.1 Transfers to Another Trip
- You may transfer your booking to another available Trip if the request is made at least 90 days before the original Trip Start Date.
- Transfers must be used within 365 days of the original Trip Start Date.
- A $250 transfer fee applies.
1.3.2 Price Differences for Transferred Trips
- If the new Trip is more expensive, you must pay the difference at the time of transfer.
- If the new Trip is less expensive, the difference will not be refunded but will be issued as a credit valid for 365 days.
1.3.3 Changes Requested Less Than 90 Days Before Trip Start
- Changes requested less than 90 days before the Trip Start Date will not be accommodated.
1.3.4 Couples Booking Policy
Couples booking a Trip together must follow the steps below to ensure private accommodations and individual Nomad Nest accounts:
- The first participant books at full price and receives a confirmation email with a booking number.
- The first participant completes the Couples Request Form using their booking number.
- Once submitted, a custom booking link is generated for the second participant.
- The second participant books using their own Nomad Nest account via the custom link.
- The second participant’s booking will include a 30% discount off the total trip price.
Important Notes:
- Couples must book private accommodations (shared accommodations are not available for couples).
- Both participants must book at the same time to receive the discount.
- The discount applies only to the trip price, not coworking, events, or additional services.
2. Discounts and Promotions
2.1 General Policies
- Discounts or promotional offers are non-transferable and valid only for the stated term.
- Discounts cannot be combined unless explicitly stated. Nomad Nest reserves the right to withdraw promotions at any time.
2.2 Credits
- Future trip credits must be used within 365 days of issuance.
- Credits cannot be applied to already discounted Trips or exchanged for cash.
3. Cancellation by Nomad Nest
3.1 Before Departure
Nomad Nest reserves the right to cancel a Trip due to:
- Low enrollment
- Unforeseen circumstances
- Force majeure events (e.g., natural disasters, government restrictions, pandemics)
If a Trip is canceled before departure, participants will receive a full refund of monies paid (excluding any personal expenses). No additional compensation will be provided.
3.2 During a Trip
If a Trip is interrupted due to safety concerns, participant misconduct, or unavoidable reasons, Nomad Nest will:
- Offer a prorated credit for unused services, only if the interruption is not due to participant misconduct.
- Assist with mitigating impact but will not cover additional costs.
- Provide no refund or credit for interruptions caused by participant misconduct or violation of Nomad Nest policies.
4. Miscellaneous
4.1 Unused Services
- No refunds or credits will be issued for unused portions of the Trip (including accommodations, workspace, or events).
4.2 Optional Add-Ons
- Optional add-ons (e.g., excursions, private room upgrades) are non-refundable once purchased, regardless of Trip status.
